Reports and exports

Client reports, the health summary, schedules, share links and exports.

The Reports page answers two questions: how your clients' backups look right now, and how one client's backups performed over a month. Everything on it can be downloaded as CSV, saved, emailed on a schedule or, for a client report, shared as a read-only link.

What is on the Reports page

The page has four parts, top to bottom:

  • Backup health now: every client and the state of its backups at this moment.
  • Client report: one client, one calendar month, ready to send to the customer.
  • Saved reports: every report you or a schedule saved, newest first.
  • Scheduled reports: emails that go out on a cadence you choose.

Any member of the workspace, viewers included, can read the page, build a client report and download CSVs. Saving a report, creating a schedule and creating a share link need the Owner, Admin or Member role.

Backup health now

A table of clients, problems first, with each client's worst status and how many of its backups are Failed, Missing or Warning. The filter switches between All clients, With problems and Below SLA target, and you can search by client name.

The Health column is the share of a client's rated backups that are Healthy right now. Waiting and Paused backups are not rated, so a client whose backups are all waiting or paused shows "—" rather than a percentage. When the figure is under the client's SLA target, the row says so.

Export health summary downloads this table as a CSV and saves a copy in Saved reports, so you can download the same figures again later.

The monthly client report

Pick a client and a month, then Create report. Nothing is sent or saved until you choose to. The month is the calendar month in your workspace timezone (Settings → General).

The report opens with six figures:

Success rateOK reports divided by all reports received in the month. Warnings are not successes: the backup finished, but something was skipped. With no reports it shows "—", never 100%. When the client has an SLA target, the line under it says whether the month meets it.
Reports receivedEvery backup result recorded in the month, split into OK, warning and failed.
Failed reportsReports that said the backup failed.
Missing reportsTimes a backup missed its expected window in the month: reports that were due and never arrived.
IncidentsAlerts on the client's backups that were open at any point in the month. The line under it gives the median recovery: the median time from opened to resolved, over the incidents resolved during the month.
Open nowIncidents still unresolved when you built the report.

Below the figures are a table of the client's backups (product, device, reports, failed, missing, success rate and last result) and a table of the month's incidents, oldest first, with when each opened, when it resolved and how long it was open. An incident that closed on the backup's next good report says "Recovered on the next good report"; one that someone closed says "Closed without a new report".

  • A backup created during the month counts only from the moment it was created.
  • An alert on a backup that was later deleted is still listed, as a removed backup, so problems are never left out.

From the report you can Download CSV, Save to Saved reports, or share it as a link. The Send report button on a client's page opens this report with that client already chosen.

Saved reports

Every saved client report, health summary export and scheduled email is listed here, newest first, with its type, the period it covers and when it was made. Filter by Report type or search by name.

A saved report keeps the exact figures from when it was made, so downloading it again gives the same numbers even after more reports have arrived. Reports saved before exact copies were kept show CSV (current data) instead: that download is rebuilt from today's data.

Scheduled reports

A schedule emails a health snapshot to a list of addresses. Give it a name, a cadence and the recipients, separated by commas. Recipients do not need a BackupSentinel account.

  • Cadences: Daily, Weekly, Monthly and Quarterly. Monthly means at least 28 days after the previous email and Quarterly at least 84 days, not a calendar date.
  • Time: every email goes out at 06:00 in your workspace timezone. The first one goes at the next 06:00 after you create the schedule.
  • Content: the email attaches a CSV health snapshot named like sla-summary-2026-10-06.csv: one row per client with its tier, SLA target, number of backups, the count in each status and its health percentage.
  • Pause, resume or delete a schedule from its row. A schedule with no recipients shows "No recipients: nothing will be sent".

A share link lets a client read their monthly report in a browser, without an account.

  1. Build the client report for the month you want to share.
  2. Under Share a read-only link, choose how long it works: 7, 30 or 90 days.
  3. Create link and copy it straight away. For safety it is not shown again.

The client sees the report for that one client and that one month: the same figures and tables as you, headed "Backup report from" your workspace name, with "Read-only · link valid until" its expiry date. Times are in your workspace timezone. The page is not indexed by search engines.

The figures are built from your data each time the link is opened, so a report for the current month keeps up with new results.

  • Each active link is listed under the report with when it was created, when it expires and how many times it has been opened. Revoke stops it working at once.
  • Creating and revoking a link are recorded in the activity log.
  • An expired or revoked link shows "This report link is not available". Links also stop working while the workspace is suspended or cancelled.

CSV exports

You can download CSV from these places:

  • Backup jobs: the jobs list, with Export CSV.
  • Needs attention: the current tab, with Export.
  • Reports: the health summary and any client report.

Spreadsheet formulas are neutralised in every export, so a job or client name cannot run as a formula when the file is opened.

Full data export

Owners and admins can download everything in the workspace as one JSON file from Settings → Data export: clients, backup jobs (without stored passwords), alerts, the metadata of report emails, and client contacts. The export works even when the workspace is suspended or cancelled, so you can always take your data with you.

How far back reports go

Report history follows your plan's retention. Report emails, alerts and backup results are each kept for the number of days your plan includes; the limits are listed in Settings → Billing and on Pricing. A client report for a month older than that has nothing left to count.

Limits

  • There are no PDF reports. Reports are on screen, as CSV or as a share link.
  • Reports carry your workspace name. There is no white-label or custom branding.
  • The monthly client report cannot be scheduled. Schedules send the health snapshot only.
  • Monthly and Quarterly schedules run at least 28 and 84 days apart, not on a fixed day of the month.
  • Scheduled reports and share links stop while the workspace is suspended or cancelled.
