Your own sending address

Send client reports and sign-in codes from an address on your domain.

Last updated

On Pro, the emails your clients receive can come from an address on your own domain, such as backups@your-company.com, instead of BackupSentinel's. You add three DNS records; BackupSentinel checks them and switches over by itself.

What uses it

  • Scheduled client reports (Reports → Client reports → Scheduled reports, for one client).
  • Client portal sign-in codes (see Custom portal domain).

Replies go to the support email in Settings → Branding, or the contact email. Emails to your own team (alerts, the daily digest, the health summary) still come from BackupSentinel.

Until your address is verified, these emails come from BackupSentinel's address with your company name as the sender, as they do on Growth.

Set it up

  1. Go to Settings → Branding → Sending address, enter the address and Use this address.
  2. Three CNAME records appear, each with a copy button. Create all three at the DNS provider of your domain. They look like abc123._domainkey.your-company.com → abc123.dkim.amazonses.com.
  3. Wait. BackupSentinel checks every few minutes. Once all three are found, the status changes to Verified and the Owner and Admins get an email.

The records prove that the domain is yours, and they sign every email for your domain (DKIM), so the mail passes SPF, DKIM and DMARC checks at your clients' providers. You do not need to change your SPF record.

  • Most providers ask for the name relative to your domain: enter the part before .your-company.com.
  • On Cloudflare, set the records to DNS only.
  • The mailbox does not need to exist to send, but replies to it bounce; set a support email so replies reach you.
  • Changing only the part before the @ keeps the verification. A different domain starts again with new records.

If something goes wrong

  • The records are not found within about 3 days: the address is removed and you get an email. Check the records, then add the address again.
  • A verified address stops verifying (records deleted, DNS provider changed): emails go back to BackupSentinel's address with your name straight away, nothing is lost, and you get an email. Restore the records and it switches back by itself.
  • The plan no longer includes it: emails come from BackupSentinel's address again. The address stays set up for 30 days, then it is removed.

Limits

  • One sending address per workspace, on a domain you control. Free mailbox providers (Gmail, Outlook and the like) cannot be used.
  • A domain can be used by one workspace only.
  • Your own sending address is on Pro.
